How To Use Groupboss: A Complete Walkthrough
Here's what it does, in one line. When someone joins your Facebook group, Groupboss grabs their answers, including their email, and drops them into your dashboard, a Google Sheet, and your email tool. No copy-pasting.
The whole setup takes about five minutes. Let's get you going.
Before you start
Grab these first, so you're not stuck halfway:
- A Groupboss plan, or a free 7-day trial
- Google Chrome
- A Facebook group you run
- Membership questions turned on in your group, with one question that asks for an email Required This is what Groupboss collects. No email question means no leads.
The group membership questions matters most. Groupboss can only collect what your join questions ask for. So if you don't ask for an email, you won't get any. Turn that on in your Facebook group settings before you go further.
Ready? Here we go.
Step 1: Install the extension and sign in
First, sign up on the pricing page. Your login details will land in your email a moment later.
Next, add the Groupboss Chrome extension. Then pin it to your toolbar so you can always find it.
Now click the Groupboss icon and sign in with the credentials you received in your email.
That's step one done.
Step 2: Add your Facebook group
Open your Facebook group and head to the Group settings from the left sidebar. Click the Groupboss icon, then click on the "Add the Group."
Got more than one group? Just repeat this for each one. How many you can add depends on your plan.
After you have added the Facebook group to the list, you will be able to collect members data in the Groupboss dashboard.
Step 3: Connect Google Sheets and your email tool
This step is optional, but it's worth doing.
Connect a Google Sheet, and every lead's name, email, and answers show up in neat columns on their own. Here's how to connect Google Sheets.

Do this now and you'll save yourself the headache later.
Step 4: Approve members
Now for the part that actually collects leads.
Go to your group's pending requests. You'll notice the buttons have changed. They now say Approve by Groupboss and Approve All by Groupboss. Click those, and Groupboss saves each member's details as you approve them.
Rather not do this by hand? Set up auto-approval instead. You pick the rules, and Groupboss approves and saves leads for you.
One quick heads-up. When you approve a big batch at once, give it a second. Don't jump to another page too fast, or some answers won't save.
Step 5: See your leads
Your leads live in the dashboard. Sign in at app.groupboss.io to take a look.
From there, you can:
- See every lead, sorted by group or by date.
If you want to see detailed information click on ‘Lead Overview’ and select Facebook group. Then you will see detailed information of your group members.
2. Download everything as a CSV or Excel file.
To download the data, click on ‘Download as CSV’ and it will be downloaded as a CSV file.
3. Build a Facebook Custom or Lookalike Audience in one click
You can also download data in a specific format to create Facebook custom and lookalike audience. To do that click on ‘Create FB Custom and Lookalike Audience’ on the dashboard. Then the Facebook custom data will be downloaded, with which you will be able to generate a custom audience in Facebook.
4. Check your "data collection history" from the last 48 hours.
To Check your history, open the Chrome extension and click on the History button.
Data collection history is very much helpful. If a lead didn't save right, Groupboss flags it, so you can fix it and re-sync before it slips away.
5. See the data collected within a Custom date range
To see those data, select a specific date range. Then you will see the full data you have collected within that date range.
And that's it. You're now collecting leads on autopilot.
Something not working?
It happens. Here are the usual reasons:
- No leads showing up?
Check two things. Are you signed in to the extension? And does your group have a membership question asking for an email?
- Some leads missing after a bulk approve?
You probably switched pages too fast. Approve in smaller batches next time.
- A lead never reached your email tool?
Open your data collection history and re-sync it.

Q. Do I need to wait after approving?
Ans: Yes. Give the data a moment to save, especially with big batches.
Q. Will it work without membership questions?
Ans: No. Groupboss saves the answers to your join questions, so you'll need them turned on, with an email asking question included.
Q. Can I send leads to a sheet and an email tool at the same time?
Ans: You can. Connect both, and Groupboss sends to both at once.
Q. What happens when my trial ends?
